Treasurer's Report to Essex Volleyball Association 2008 AGM The job of treasurer this year has been more time consuming than I anticipated because of the extra volume of money coming into the account, mainly from coaching courses. Collection of funds has proved time-consuming, partly because of the lack of cooperation of those owing money but also due to lack of procedures on my part in collecting these moneys which are now necessary but were not before with a lower volume of money coming in. To help redress this I propose the following: League entry forms should show the name of the person responsible for making the payment. This year I have not known in some cases who to chase for outstanding fees so I have hoped that clubs have recognized their responsibility to pay. This has not always been the case. (Note this approved) To help the issue of player registrations which I am sure will be discussed elsewhere I propose a slightly different fee structure. Entry fees would remain the same and would include registration of up to 12 players per team. During the season additional players could be registered at a cost of £2 per player. (If additional players were still keeping the number at less than 12 no fee would be payable). (Note this was not approved but to be reviewed after anticipated improvements in player registration processes) At this stage I am unable to present formal accounts. I am chasing payment for a significant sum for coaching course fees. The overall balance in the bank account at the end of May was £8066, a similar figure to last year. Whist I am convinced that the overall position is not less than this, allowing for a payment I expect to have to make to Volleyball England for the coaching courses, it should end up slightly higher. I unfortunately had to organize coaching courses for a large number of people in a very short timescale to take advantage of considerable funding from Sportessex. This meant that I did not have full procedures in place to collect fees and the course took place when I was on holiday. The courses show a breakeven on funds actually received but I expect to show a surplus. I spoke recently to the "auditor", Steve Peacock and will be presenting the figures to him over the next month. I am then hoping to have the accounts available on the Association Website. There is also a serious illness in my immediate family which prevents me from being here today. Steve Rosser 29/06/08 |
